Quick guide to handovers

Whether you have one committee member standing down or you ' re all moving on , you should have a handover plan in place so new members can land on their feet . Here are the essential things to sort out and documents to share during this transition

The document essentials

Before standing down

Recruit your successor ( s ) - Establish who ’ s leaving and start recruiting , making sure the key roles of Chair , Treasurer and Secretary are filled
Organise the AGM - If you can , support your PTA ’ s committee up to the next AGM by helping to organise the meeting
Finalise your accounts - If the Treasurer is standing down , make sure the accounts are up to date . If you have an Independent Examiner appointed , make a note of their contact details to pass on to the new committee members

Insurance documentation Bank account details Charity Commission registration number and login details Gift Aid declarations and HMRC registration details Accounts Meeting minutes and copies of the annual report Licences Risk assessments
It ’ s a good idea to store essential documents electronically . You can use online services such as Dropbox or a Google Doc account . Make sure you follow GDPR guidelines if any personal information is included in these documents .
