Running your PTA
We were fundraising for a specific project which was requested by the school – who have now changed their mind and don ’ t want it . What can we do with that money ?
How do we plan for all weathers at our summer fair ?
We all know the great British summer can bring anything from blistering sunshine to torrential rain ! So it ’ s important to consider all conditions as part of your risk assessment . If you are holding the fair outdoors , you will need to monitor weather forecasts in the run up to the event and ensure that adequate measures are in place to keep attendees and volunteers safe . If severe weather is forecast , don ’ t be afraid to postpone or cancel your event – safety should be your number one priority .
If you advertised that the funds raised at specific activities would be going on a named project , this is called a ‘ designated fund ’ and really should be spent on this project , because when people attended your event or made a donation , this is where they thought their money was going . If the school no longer wants it , you need to clearly communicate to as many of these donors as possible that the school are no longer pursuing the project , then detail how the money will be allocated instead . If anyone has any objections to their donation being spent on the alternative project , they must be able to notify you and you may have to refund the donation . It ’ s quite unlikely they will , since the money will still be funding a school project , but they do need to be given the opportunity .
We want pony rides as part of our summer fair . Do we need to apply for special licences or do anything extra ?
All keepers who look after ponies as a commercial business should have a licence from their local authority , as well as insurance for both their animals and the riders . It is your responsibility as a committee to ensure that the keepers who attend your events are licenced and insured . You may also wish to check that the keepers are registered with an association ( such as The British Horse Society ) as an approved provider to ensure the welfare of the animals .
